Privacy Policy

Future Harvest Development Ltd. (“Future Harvest”, “we”, “us”, or “our”) operates this wholesale ordering website (the “Site”). This Privacy Policy explains what personal information we collect from the businesses and individuals who use the Site, how we use and share it, and the choices and rights available to you. It applies to visitors, wholesale account holders, and anyone who submits a quote request through the Site.

We are a business-to-business supplier of hydroponic nutrients and plant care products, based in Kelowna, British Columbia, Canada. This policy is written to comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA), which govern how private-sector organizations collect, use, and disclose personal information in the course of commercial activity.

1. Information we collect

Account and order information. When you apply for a wholesale account, request a quote, or place an order, we collect your company name, contact name, email address, phone number, business type, GST number, billing and shipping addresses, and order/purchase history.

Application documents. To review and approve your application, we collect a copy of your business license and, if applicable, your PST exemption document. These are stored in a private, access-restricted location and are never made public.

Payment information. Card payments are processed by our third-party payment processor — we do not store your full card number on our servers. For e-transfer payments, we retain records of the transaction and payment status.

Account credentials. Your password is stored in encrypted (hashed) form by our authentication provider; we cannot see or retrieve your actual password.

Usage and device information. Like most websites, we automatically collect certain technical information when you browse the Site — IP address, browser type, device information, pages visited, and referring pages — generally through cookies and similar technologies (see Section 4).

Communications. If you contact us — by email, quote request, or otherwise — we keep a record of that correspondence.

2. How we use your information

We use the information we collect to:

  • Create and administer your wholesale account, including credit approval and account status;
  • Process, fulfill, and ship orders, and communicate with you about them;
  • Provide wholesale pricing appropriate to your account's pricing tier;
  • Respond to quote requests and customer service inquiries;
  • Send transactional communications (order confirmations, shipping updates, account notices, recall notices);
  • Detect, investigate, and prevent fraud, abuse, or security incidents;
  • Comply with tax, accounting, and other legal obligations; and
  • Improve the Site and our product offering.

We collect and use personal information only for the purposes described here, and only to the extent a reasonable person would consider appropriate in the circumstances, consistent with PIPEDA's and PIPA's purpose-limitation and consent principles. By creating an account or placing an order, you consent to the collection, use, and disclosure of your information as described in this policy.

3. How we share your information

We do not sell your personal information. We share it only:

  • With service providers who perform services on our behalf — payment processing, shipping and freight carriers, our accounting/ERP system (including our QuickBooks integration), hosting and database infrastructure, and email delivery — under obligations to protect it and use it only to provide those services;
  • To comply with law — where required by a court order, subpoena, or other legal process, or to establish, exercise, or defend legal claims;
  • In a business transfer — if Future Harvest is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction, subject to this policy or a successor policy; and
  • With your consent, for any other purpose we disclose to you at the time.

4. Cookies and similar technologies

We use cookies and browser local storage to keep you signed in, remember items in your cart, and understand how the Site is used. These are either essential to the Site's operation (e.g. maintaining your session) or help us improve it. You can block or delete cookies through your browser settings, though doing so may prevent you from staying signed in or using the cart.

5. Data retention

We retain personal information for as long as your account is active, and afterward for as long as needed to fulfill the purposes described in this policy — including satisfying legal, accounting, or tax record-keeping requirements (generally at least six years for financial/order records, consistent with Canada Revenue Agency requirements) — after which it is securely deleted or anonymized.

6. Data security

We use reasonable administrative, technical, and physical safeguards designed to protect your personal information, including encryption of data in transit and at rest, encrypted password storage, and role-based access controls limiting staff access to what's needed to do their jobs. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your rights and choices

Under PIPEDA and PIPA, you have the right to access the personal information we hold about you, request correction of inaccurate information, withdraw consent (subject to legal or contractual restrictions — for example, we may need certain information to continue servicing an active order or account), and ask questions about how your information is handled. To exercise any of these rights, contact us using the details in Section 10 — we'll respond within a reasonable time and at no cost to you, except in limited circumstances permitted by law.

8. International data transfers

Some of our service providers (such as cloud hosting and database infrastructure) may store or process information on servers located outside of Canada, including in the United States. Where that occurs, your information may be subject to the laws of that jurisdiction, including lawful access by its government authorities. We select service providers with appropriate safeguards in place to protect your information.

9. Children's privacy

The Site is a business-to-business service intended for use by adults acting on behalf of a business. It is not directed at, and we do not knowingly collect personal information from, individuals under the age of 18.

11. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or for legal reasons. We'll post the updated policy on this page with a new effective date. Continued use of the Site after changes take effect means you accept the revised policy.
